Organizations can now standardize how materials, tools, and services are requested, replacing email chains, spreadsheets, and manual processes with a centralized workflow that routes request for review and approval before becoming purchase orders.
The new functionality strengthens procurement oversight, improves budget control, and establishes ToolWatch as a system of record from request to fulfilment.
In addition, it lays the groundwork for deeper integrations with ERP systems like Oracle and future procurement expansion.
The purchase request functionality on ToolWatch reduces manual chasing, duplication of data entry and approval bottlenecks.
Without leaving ToolWatch, warehouse manager gain better purchasing oversight and centralized visibility.
How it works
Users submit a purchase request, then search catalog items or manually enter required materials/services, including item details, quantities, vendor information, job/project allocation, and supporting notes or documentation.
Prior to submitting a request, users can see available inventory by location. The system supports a “shopping style” experience to reduce unnecessary purchases and leverage existing stock.
Each request is automatically routed into a centralized review queue. Submitters have real-time visibility into request status as they receive updates when requests are approved, rejected, or modified.
Purchasing agents and designated approvers receive a clear, actionable list of pending requests which they can approve, reject, or request clarification on.
High-dollar purchases can follow escalation rules to ensure compliance with spend policies. In addition, approved requests can be seamlessly converted directly into purchase orders.
